How it works

Inside ai assistant

01

Built on the Model Context Protocol

MCP is a secure standard that lets an AI assistant connect to approved business tools. Pipeline’s AI CRM software never exposes your Pipeline login or gives unrestricted access to your account.

02

Works with your real data

Once connected, your assistant can work with the customers, leads, quotes, jobs, invoices and notes in your Pipeline account - subject to the permissions you approve.

03

You stay in control

Your assistant only receives access after you connect it and approve the requested permissions. Your normal Pipeline user permissions still apply, and you can disconnect at any time.

04

Compatible assistants

Pipeline’s AI CRM software works with assistants that support the Model Context Protocol, including compatible versions of ChatGPT and Claude. Support depends on each provider’s plan, settings and regional availability.

In practice

What it looks like day to day

A daily business check-in

“Review my Pipeline account and tell me what needs attention today. Include new leads without contact, quotes awaiting acceptance for more than three days, jobs that are overdue, completed jobs not yet invoiced, and overdue invoices.”

Your assistant turns this into a practical priority list, rather than you checking several screens by hand.

Looking after a lead

“Create a lead for Northstar Facilities. They need a quote for a warehouse lighting upgrade. Add contact details for Emma Jones, set a follow-up for Friday, and add a note that their target budget is £8,000.”
“Review all leads created in the past seven days. For any without a recorded contact, prepare a short follow-up email and create a reminder for the lead owner.”

New enquiries are logged, followed up and assigned without leaving the conversation.

Quote follow-up

“Find quotes over £5,000 that have been awaiting acceptance for more than seven days. Give me a concise summary of each, draft an appropriate follow-up, and create a reminder for me to review it.”

Opportunities that might otherwise slip through the cracks are found for you, while you stay in control of any communication that is sent.

A weekly report

“Create a weekly Pipeline report covering new leads, leads contacted, quotes sent, quotes won and lost, jobs completed, invoices raised, overdue debt and total revenue.”

Then ask follow-ups such as “Which figure changed most compared with last week?”, “Which team member has the most open opportunities?”, “What should we focus on next week?” or “Turn this into a short update for the team.”

Security and control

A secure, permissioned connection

For example, you might let an assistant read customer records, create leads, add notes and prepare quotes, while requiring your approval before it sends communications, issues an invoice, changes financial data or deletes records.

  • You connect your own AI assistant to your Pipeline account.
  • You approve access before the assistant can use Pipeline data.
  • Access is limited to the permissions granted to the connection.
  • Sensitive or high-impact actions can be kept under approval.
  • You can revoke the connection whenever you choose.
  • Your normal Pipeline user permissions still apply.

Suggested permission levels

For most teams, a sensible starting point is:

Read and organise

  • View customers, leads, quotes, jobs and invoices
  • Search and report on Pipeline data
  • Add notes and create reminders
  • Draft follow-up communications

Create and update

  • Create customers and leads
  • Create and update draft quotes
  • Create jobs from accepted quotes
  • Update records where the connected user already has permission

Keep under approval

  • Send emails or SMS messages
  • Send quotes to customers
  • Issue invoices
  • Record payments, refunds or credit notes
  • Delete records
  • Make significant changes to customer or financial information
